Travel Services
Your Travel Services Team are based on the Lismore and Gold Coast campuses and can be contacted via email travel@scu.edu.au or by calling 02 6620 3013 (x73013).
Our Travel Officers work closely with SCU’s Travel Management Company to book all University travel and provide SCU travellers with advice and assistance, including:
- Guidance on Travel Policy and Procedures.
- Raising a travel request and gaining approval to travel.
- Confirming international and domestic travel arrangements, SCU-led student travel or group travel arrangements.
Privacy statement
The University collects, stores and sends personal information to Travel Providers such as FCM, Concur, and International SOS, in order to fulfil travel booking requirements and provide travel and medical risk assistance to University staff and its officers for University purposes.

Preparing to travel
- All travel, regardless of the funding source, must be approved in accordance with the Travel Procedures.
- All University-funded travel must be booked by Travel Services.
- Travel Services will process the requests and approvals for all travel.

FCM
The University has engaged FCM as its travel management company (TMC).
By booking business travel through Travel Services and our TMC FCM, your work unit or project will not be charged travel agent booking fees. These fees will be absorbed centrally.
The use of a single travel management company strengthens the University’s duty of care requirements to our travellers whilst increasing SCU’s buying power to achieve the best value possible for our travellers.
Make a Travel EnquiryTravellers must:
- Access the University's risk information services and make themselves familiar with medical and security risks at the destination.
- Download the International SOS app.
- Save the following numbers into the phones they will use while travelling as 'SCU and International SOS Emergency Outreach': i. +61 429 336 557; and ii. +1 215 354 3803
- Familiarise themselves with the University's travel insurance policy and if coverage is not sufficient, arrange their own private travel insurance prior to departure.
- Arrange their own insurance for any private component of the trip that exceeds the 'incidental' private travel threshold or maximum days.
- Have the recommended vaccinations before travelling. The University will reimburse Travellers for recommended vaccinations.
- Organise phone and other means of communication if travelling to a high risk area - such as geo tracking via smartphone, or a satellite device if in a remote area.
- Apply for a travel cash advance through Travel Services, if required.
International SOS preparation for Travel:
- If planning to travel Internationally, travellers should confirm with their doctor that they are 'fit to travel'.
- Travellers with pre-existing medical conditions should call International SOS for a confidential pre-trip medical consultation to ensure that the medical care and availability of medicine in the destination location is sufficient to ensure the Traveller's wellbeing.
- Travellers must read and keep up-to-date with the relevant country/region travel advice provided by ISOS, using the ISOS Covid Trip Planner to understand specific travel restrictions and any quarantine requirements.
- Travellers with a higher risk profile due to their gender, ethnicity, religion or sexual orientation are able to receive a confidential pre-trip consultation from the International SOS medical and security team.
The ISOS membership card and ISOS portal (login required) are available to assist with pre-travel security and medical information and assistance centre contact numbers across the globe.
DFAT SmartravellerThe University’s Corporate Travel Insurance covers travellers on authorised University business, subject to the terms, conditions, limits and exclusions of the policy.
It is the responsibility of the traveller to familiarise themselves with the University's travel insurance policy and if cover is not sufficient, arrange their own private travel insurance prior to departure.
Further information on the policy and what you need to do if, for example, you have a pre-existing medical condition is available on the Corporate Travel Insurance website.
Travellers should acquit their travel costs (including reimbursement, corporate card charges and advances) by submitting an expense claim and supporting documentation (invoices/receipts) in Concur within 30 days of the travel being completed.

Call from within AustraliaInternational SOS
International SOS provides all University travellers advice and support:
- Pre-travel – through pre-trip advisories, medical and security advice
- During travel (24/7 advice and assistance - medical, security and general travel)
- In an emergency (when travelling overseas on University business)
All International travellers are required to download the International SOS Assistance App to their smartphone before travel to ensure:
- Immediate access to a medical, security or logistical expert for routine advice or for help in an emergency
- Up-to-date medical and security advice and real-time alerts for the locations where you are travelling
